Product Tailored Solutions

Tailored Mobile Payment, Collections, and POS Solutions

icitech develops tailored mobile payment, collections, and POS solutions for field sales teams, distribution organisations, authorised dealer networks, and store estates. Physical POS, virtual POS, QR payment, and payment-link scenarios are brought together in a single mobile experience — designed from the ground up around your sales model, ERP architecture, banking agreements, and security requirements. Field staff complete collections at the customer's location whilst finance teams monitor transactions against central systems in near real time.

02 The problem

Workflows Designed Around Your Payment Model

Every organisation manages collections differently — the accounting process, approval structure, and risk policy are yours alone. icitech takes that as the starting point rather than fitting the work into a fixed set of screens. Customer type, payment method, credit terms, banking relationships, commission model, promotional conditions, and approval levels are all configured to the organisation's own rules. In the mobile application, a field worker can view a customer's open account, select the invoices to be settled, and complete the transaction using whichever payment methods the organisation has defined. On completion, the payment record passes to the ERP or accounting system, the account balance is updated, and an electronic receipt is issued to the customer automatically.

03 Capabilities

Mobile POS and Virtual POS Integration

The solution is built to integrate with whichever banks or payment service providers the organisation already uses. Physical POS devices, soft POS infrastructure, virtual POS services, and payment-link scenarios are brought into scope in line with existing contracts and the current technical estate. Secure card processing, tokenisation, 3D Secure, PCI DSS requirements, and the architecture for communicating securely with banking services are addressed within the project. Rather than owning payment infrastructure, icitech designs and implements the secure integration layer between the organisation and its authorised payment service providers.

Mobile POS and Virtual POS Integration
  • Collections, Account Ledger, and Finance Integration

The mobile collections screens are designed not only to capture payment but to give an accurate picture of the customer's financial position. Through ERP integration, open invoices, balance, credit terms, credit limit, risk status, and payment history can all be surfaced in the mobile application. When a collection is completed, the payment record is sent automatically to the finance system so that field staff and the accounts team are working from the same data. Manual follow-up, telephone confirmation, and deferred data entry are substantially reduced by this approach. Integration with SAP, Microsoft Dynamics 365, Oracle, Logo, Netsis, Salesforce, and internally developed systems is planned within the project scope.

  • A Straightforward, Fast Experience for Field Staff

Every additional step in the field has a time cost. The user interface is therefore designed for the organisation specifically, requiring the minimum number of actions to select a customer, view outstanding balances, confirm the amount to collect, and proceed to the appropriate payment method. Where offline use is required, only transactions that are both secure and legally permissible are held temporarily on the device; data synchronisation is completed in a controlled manner once connectivity is restored.

  • Permissions, Limits, and Operational Controls

Not every user in a mobile collections process needs the same level of access. Separate permission profiles can be defined by region, role, customer type, collection limit, and transaction type. Transactions above a defined threshold can be routed for additional approval; cancellations, refunds, and corrections can be restricted to authorised users only. The mobile channel increases speed whilst financial controls are preserved through this structure.

04 How it works

AI-Assisted Financial Insight

Where required, AI and large language model (LLM) capabilities can be added to the solution. A manager can query in natural language to identify which regions have the highest concentration of overdue collections or which open accounts carry the greatest risk; the system can generate summary answers drawn from the financial data the user is authorised to access. Collections behaviour can be analysed to flag delay trends, unusual payment patterns, and customer-level risk signals. These features are positioned to support decision-making by finance and sales teams rather than to automate decisions.

  1. Omnichannel Payment Integration

The payment infrastructure used across web, contact centre, store, and field channels can be consolidated with the mobile solution. A customer can complete a payment journey that begins in the field through a secure payment link on their own device, or transact using a payment method already associated with their account. BI and data warehouse integrations mean that collections performance, payment method distribution, regional results, and risk indicators can be fed into the existing reporting estate — strengthening the current architecture with a mobile payment layer rather than creating a separate data silo.

  2. Tailored Payment Technology, Not a Packaged Application

icitech's approach is to develop mobile payment and collections software built around the organisation's business model — not to adapt a ready-made application to fit it. User screens, authorisation logic, business rules, payment flows, banking connections, reports, and integrations are all designed on a project basis. The engagement progresses through process analysis, security and architecture design, UX/UI, integration development, testing, pilot, and enterprise-wide rollout. The resulting solution becomes a natural part of the organisation's sales and finance operations, not simply an application that takes payments.

06 FAQ

Frequently Asked Questions

01Can the solution integrate with our existing ERP?

Yes — the solution is scoped to work with the ERP infrastructure the organisation already uses. Data flows are configured to operate bidirectionally between the mobile application and the finance system.

02Which payment methods does the solution support?

Physical POS, virtual POS, QR code, and payment link can all be made available within a single application. The methods brought into scope depend on the organisation's requirements and existing banking arrangements.

03Does the solution require field staff to have technical knowledge?

The interface is designed to allow staff to complete transactions quickly without technical expertise. The user experience is kept straightforward specifically to reduce onboarding and training time.

04Can different permission levels be assigned to different users?

Role-based permissions and transaction limits can be defined individually for each user or user group. Operational rules are then enforced centrally through that structure.

05Do our existing banking contracts affect the design of the solution?

The organisation's current banking agreements are reviewed during the design phase and reflected in the system. The aim is to work within existing contractual terms without requiring additional agreements.

06What does the AI capability add in practice?

Financial transactions are analysed to surface meaningful insight for management, including overdue patterns and account-level risk signals. The capability is positioned as decision support for finance and sales teams rather than automated action.

07Can the solution cover multiple sales channels?

Physical points of sale, online channels, and field operations can all be managed within a single framework. A consistent payment experience is maintained across those channels.

08Is per-customer account ledger tracking available?

Collections are recorded at the customer level and reconciled against current account balances. Finance teams can view those movements in near real time from the central system.

09How does the solution adapt to our authorised dealer and store network?

The structure of the distribution organisation and the dealer hierarchy are taken into account when designing the workflow. Separate rule sets can be configured for individual dealers or stores as required.

10Are we buying a packaged software product?

No — a solution is developed specifically for the organisation's requirements rather than a standard product being licensed. The project is designed and built from the ground up to match the organisation's operational model.
